The Real Estate team is responsible for managing and growing indeed’s global real estate portfolio. We design, plan and execute any projects related to office expansions, build outs and moves, with a dedicated focus on providing a fun and results-oriented work environment for our Indeedians.
As part of the Real Estate Team, the Logistics Coordinator will coordinate all office moves and relocations in an assigned region by identifying project scope, negotiating contracts, maintaining schedules, and coordinating movers associated with each relocation. This hire will lead all phases of office moves from initial planning to onsite support during move weekends.
The Logistics Coordinator will also be the workplace project lead all on short-term, shared, and flex spaces in an assigned region. In this capacity, the Coordinator will manage furniture procurement, signage & graphics installation, external vendors, and internal stakeholders to successfully prepare these office openings.
A successful Logistics Coordinator will be diligent in planning seamless moves for all employees and in creating short-term, shared, and flex spaces that are comfortable and engaging for its occupants.
The Coordinator will work closely with Employee Experience, Facilities, IT, AV, Physical Security, move vendors, furniture vendors, and Indeed employees to ensure that moves and our office openings meet all expectations.
Responsibilities include, but are not limited to:
Serve as point-of-contact for move planning and execution
Meet weekly with internal stakeholders to review all move preparation plans and schedule impacts due to construction, IT, AV, and other workstream timelines
Develop complex employee move phasing strategies around construction schedules
Plan and execute seating plans and team restacking across multiple floors and buildings
Schedule all external vendors for upfront planning & move weekend milestones
Organize technology disconnects and reconnects of computers, servers, printers, and phones
Conduct programming with local office leads to understand the requirements of new or expanded short-term, shared, or flex spaces
Test fit furniture layouts in unfurnished short-term or flex spaces
Coordinate building access for vendors and provide on-site support when required
Ensure move and office opening responsibilities are completed on time, within budget, and within standardized project process
Manage employee expectations via clear and concise written and verbal communications
Provide project punch list to contributors and closely monitor its completion
Be an effective "change agent" by reviewing current processes, policies, and practices
Engage in other projects, special assignments, and administrative duties as assigned
Bachelor’s Degree or equivalent experience
2+ years of experience in real estate, workplace, facilities, project management, logistics, or move coordination
Passionate about corporate real estate, workplace strategy, travel, and helping employees experience a comfortable and productive workplace
Willingness to engage collaboratively within a dynamic and supportive team environment
Exceptional written and verbal skills
Ability to work under pressure and with short timelines
Previous experience in managing external vendors and internal stakeholders
Solution-oriented approach to all obstacles and deviations to project plans
Familiarity with reading floor plans and with space planning
Requires approximately 50% travel during planning, move execution, and office openings
